Terms & Conditions for Event Participants
1. Scope
The General Terms and Conditions (hereinafter referred to as the „GTC“) of con:concept congress GmbH, headquartered in Graz and with its business address at Stiftingtalstraße 14 / ZWT II, 8010 Graz, registered in the commercial register of the Regional Court for Civil Matters Graz under FN 627115d (hereinafter referred to as the „Organizer“), govern the legal relationships between, on the one hand, the participant in conferences, seminars, and congresses as well as other events (hereinafter collectively referred to as the „Event“) and, on the other hand, the Organizer.
These GTC become part of the contract with your consent, provided we can prove that you have actually taken note of and agreed to them. By entering the areas or premises designated by the Organizer for the respective event, the event participant also submits to the applicable house rules, which they will independently take note of at the event location.
Validity of Registration / Hotel Booking“
Registration for the event is generally done via the website of con:concept congress GmbH. In the event that an interested party contacts the Organizer through other means, such as email or phone, the response to the candidacy is considered an offer, which is always non-binding and subject to change.
The decisive factor for the conclusion of the contract is the payment of the participation fee or a written booking confirmation.
Hotel reservations must be made by the participant themselves.
3. Fees and Payment Terms, Included Services
- The stated prices are in the currency Euro and exclude statutory VAT, which will be shown separately on the invoice. Payments must be made in Euro.
- All invoices from the Organizer are due upon receipt and must be paid within 10 working days without deductions to the bank account provided to the participant.
- The participation fee includes only attendance at the specific booked event component, unless an additional service is explicitly stated. Additional workshops, training sessions, and supporting programs may incur separate charges.
4. Cancellation
- In the event of a cancellation up to 30 days before the event, € 50.00 (+ 20% VAT) will be charged.
- For later cancellations, 100% of the participation fee will be charged.
- The cancellation declaration must be made in writing (letter or email).
Additional Information:
- All events have limited capacities. Furthermore, minimum participant numbers may be required. The right to cancel the event due to failure to meet the minimum participant number is reserved.
- In the event of a cancellation, payments already made by the participant will be refunded.
- Compensation for incurred expenses and other claims against con:concept congress GmbH cannot be derived from this.
5. Changes to the Program and Event Cancellation
5.1 Force Majeure
It is noted that necessary changes to the event program, speakers, and venue may occur.
If the event cannot take place as planned due to an event of force majeure, the event may be rescheduled to another date and location or canceled.
An event of force majeure is defined as an event that is uncontrollable, unavoidable, cannot be managed with reasonable means, and was not caused by any party. Events of force majeure include, but are not limited to:
- Riots, armed conflicts, and strikes;
- Extraordinary natural events such as earthquakes;
- Epidemics and pandemics;
- Consequences of such events on the demand for the offered services.
If an event of force majeure leads to the cancellation of the event or if the participant cannot attend the rescheduled event on the new date, a flat fee of 25% of the agreed fee will be charged to cover the costs of the candidacy.
Claims for damages by the participant due to the rescheduling or cancellation of the event are excluded.
5.2 Other Reasons If the event must be canceled for other reasons, an immediate notification will be sent to the participant’s most recently provided email address. Participation fees already paid will be refunded in full without deductions. Any further claims are excluded unless such claims arise due to grossly negligent or intentional behavior on the part of Saturn.
6. Photo Documentation and Videos
Audio and video recordings of the event are only permitted with prior written special authorization and may not be shared with third parties.
Videos and photos of the event taken by the organizer may be used for future marketing purposes, and the participant expressly consents to this.
7. Limitation of Liability
The organizer is not liable for the loss or damage of items brought to the event, unless such claims arise due to grossly negligent or intentional behavior on the part of the organizer.
The organizer assumes no liability or warranty for the accuracy of statements made by speakers.
The respective event organizer is solely responsible for the provision of the booked service and any defects in service delivery.
Participation in the event, including all activities and the supporting program, is at the participant’s own risk. The organizer is not liable for accident-related damages.
8. Applicable Law and Jurisdiction
Contracts are subject to the substantive law of the Republic of Austria, excluding conflict-of-law provisions.
For disputes arising from the legal relationship between the event participant and the organizer, the jurisdiction of the Regional Civil Court in Graz is agreed upon, provided the event participant is not a consumer within the meaning of § 1 KSchG.
9. Salvatorische Klausel
Sollte eine Bestimmung dieser AGB ganz oder teilweise unwirksam sein oder aufgrund gesetzlicher Bestimmungen unwirksam werden, so bleiben die übrigen Bestimmungen dieser AGB unverändert wirksam.
10. Hinweis:

Right of Withdrawal:
You have the right to withdraw from this contract within 14 days without providing any reason.
The withdrawal period is 14 days from the day the contract is concluded.

E-Mail: b.kamolz@conconcept.atby means of a clear statement (e.g., by post or email) about your decision to withdraw from this contract. To meet the withdrawal deadline, it is sufficient to send the notification of exercising the right of withdrawal before the withdrawal period expires.
Consequences of Withdrawal
If you withdraw from this contract, we are obligated to refund all payments we have received from you without delay and no later than within 14 days from the day we receive notification of your withdrawal from this contract.
For this refund, we will use the same payment method that you used in the original transaction, unless explicitly agreed otherwise with you. Under no circumstances will you be charged any fees for this refund.
